On tasks paid by the hour, you record the time you work with a timer. That time is what you are paid for. This guide shows how to record it, where to see it and how to correct it.
Start and stop the timer
The timer is on the tasks whose Type is Hourly, on your project's task board. To open the board, see Work on your tasks.
- Click Start, the play button at the left of the task. You see Timer started successfully, and the time counts up next to the task.
- When you stop working, click Stop. You see Time saved successfully, and the time is added to the task.
You can run one timer at a time, across all your projects. While one is running, the other hourly tasks show Timer active instead of Start, and trying to start another shows A task is already in progress. The same message appears when you open the board of another project while a timer is running.
The timer keeps counting if you close the page or leave it: when you come back to the board, it shows the time since you started. If you finish a task while its timer is running, the time is saved before the task is finished.
See your time
On the board:
- The Time column shows the time you recorded on each task. It is hidden at first: turn it on in Columns. Task total shows what that time earns, worked out with your hourly rate in the project today.
- More information on a task shows your Tracked time, its Estimated earnings and a line for each time you recorded, with its Date, Time and Estimated amount. With nothing recorded, it shows No tracked time yet.
- Report · Hourly payment adds up your time and its estimated earnings for the whole project.
In More information and in the report, what your time earns is the hours you recorded multiplied by your hourly rate in that project on the day you worked; Task total uses today's rate instead, so the two can differ when your rate changed. The Time column and Task total count only approved time. More information and the report also count the time you added by hand while it is still pending, and when it was rejected. The amounts are estimates until the time is paid.
Open a task's times
The times page lists the entries recorded on a task, day by day: those of everyone who worked on it when your role lets you see time records, and only your own otherwise. You reach it from Pending payments: open a pending hourly payment or a pending task payment and click Open full detail. See Your payments.
The title is the project's name, with the task under it; when the task has no entries, the title reads No data to show. Total time adds up the approved entries. To see only some days, choose a Start date and an End date and click Filter; the end date cannot be before the start date. Filtered time then shows the approved time in those days. Reset shows every day again.
Each day shows its total approved time, 10 days per page. Click a day to open its entries, each with its Start time, End time and Time. Time added by hand also shows its Status; while it is pending or rejected it is listed but not counted in any total. In Actions, each entry has Edit, except an entry whose timer is still running: stop the timer first. When there are no entries at all, you see There are no recorded times and Work times will appear here when you start recording them.
Correct an entry
You can make an entry shorter, for example when you forgot to stop the timer.
- Open the day and click Edit on the entry.
- The window shows its Start time, End time and Original time. Type the New time as hours, minutes and seconds, like
01:30:00. In another format, you see Tracked time format is incorrect. It must be HH:MM:SS. - Click Save changes, or Close to leave it as it was.
The end time moves earlier by the time you removed. The new time must be shorter than the original: if it is the same or longer, you see Tracked time cannot increase. To record more time, add it by hand. If the entry's timer is running when you click Save changes, for example because the window was already open, you see Stop the timer before editing this record. and nothing is saved.
Add time by hand
When you worked without the timer, you can ask for the time to be added.
- Open the day you worked and click Add Manual Time.
- The window shows the Date. Enter the Start time and the End time as hours and minutes, in your own time zone (see Dates and time zones). The yellow notice reminds you: Manual entries require approval from the Project Manager before they are counted.
- Click Submit for approval, or Cancel to close the window.
Both times are required, and the end time must be after the start time. Otherwise you see Start time is required., End time is required., Start time must be in HH:MM format., End time must be in HH:MM format. or End time must be after start time.
The entry appears with its Status as Pending, and the project's manager is told about it. When the project has no project manager, projects lead or studio leader among its members, the notice goes to someone in the company with one of those roles, picked at random. People whose role is project manager approve or reject it from their Dashboard, in Manual Time Requests; the status then changes to Approved or Rejected. See Your dashboard and the side menu. Time added by hand is only paid once it is approved.
Add Manual Time is inside a day that already has entries, so you can only add time to a day on which time was recorded before. It is there on the times page of any task you can open, so make sure you are on the right task before you send the request.
