Work on your tasks

Open a project's task board, add and organise your tasks, and hand them to other people.

Tasks shows the projects you work on, and each project has a board with the tasks that concern you. This guide shows how to find your tasks, organise them and pass them on.

Open your projects

Choose Tasks in the My panel group of the side menu. The entry is there when you belong to an active project that pays you by the hour, by task or by sprint.

The page, titled Tasks, lists those projects, 10 per page. Two selectors narrow the list:

  • Project type: Normal for client work, Administrative for internal administrative projects.
  • Role: All roles, or one of the roles you have in your projects.

Each row shows the Project, its Status, your Role in it and your Payment types: Hourly, Task or Sprint, or Normal when the membership shown has none of them. Status shows Desconocido for every project. In Actions, click See tasks to open the project's board. With no project to show, the list says No data.

The task board

The board opens with the project's name as its title. It shows the project's sprints in progress that concern you, each with its tasks: all of them when you are paid by the hour, otherwise the sprints where you have a task or a payment. It also shows any sprint where you still have a payment pending, even when that sprint is no longer in progress. Your personal lists come after them. When nothing concerns you, you see There are no tasks assigned to this project. A sprint with none of your tasks shows No tasks assigned in this sprint.

Only unfinished tasks appear. Each task has a Type:

  • Hourly: you track time on it, and it is paid by the time you record. See Track your time.
  • Task payment: it has a fixed amount and is paid as it passes its validations. See Validate tasks.
  • Normal: an organisational task. It does not generate costs or payments.

Two buttons at the top switch what you see:

  • My tasks: the tasks assigned to you.
  • My delegated tasks: the tasks you created and assigned to someone else.

Choose the columns

In Columns, click a column's name to show or hide it. Type, Tags, Status, Date, Assigned to and Created by are shown at first; Time, Task total, Received and Pending balance are hidden until you turn them on. Your choice is kept in this browser, for each project.

The order of your tasks

Your tasks keep any order you saved earlier; the rest are listed with the ones changed most recently first. To change the order, drag a task by its ⋮⋮ handle and drop it on another task: it moves in front of that task, and the new order is saved for you. It works in a sprint and in your personal lists. In My delegated tasks, and on a sprint that is no longer in progress, you see You are not allowed to reorder tasks in this project and the order is not saved.

Add a task

  1. In My tasks, click Add task on the sprint or on your own list where the task should go.
  2. Type its Title, at least 2 characters, and click Save. You see Task created.

The task is assigned to you. It is Hourly when you are paid by the hour in that project, and Normal otherwise. You add the description when you edit it. Add task does not appear in My delegated tasks. On a sprint that is no longer in progress, Save shows You are not allowed to add tasks in this project and the task is not created.

Work with a task

The buttons at the end of each row are the actions you can take on it:

  • More information shows the task's description and what it means for you: its time and estimated earnings for an hourly task, its amounts and validations for a task paid by task.
  • Edit opens Edit task, where you change its Title and Description, which accepts Markdown. Click Save and you see Task updated. It appears when you created the task, when you are paid for it, or when your role lets you update tasks.
  • Assign task opens who the task is assigned to and who created it. It is not shown on tasks paid by task.
  • Finish task asks Are you sure you want to finish this task?. Confirm and you see Task finished; the task leaves the board. If its timer is running, the time is saved first. Tasks paid by task have no Finish task: they finish when their validations are approved.
  • Send to testing, Send PR and Send to client appear on tasks paid by task, to send them to each validation, and again when that validation returned the task. See Validate tasks.
  • View comment appears when a reviewer returned the task, and shows why.

Give a task to someone else

  1. Click Assign task on the task.
  2. In Change assignee, choose the Project member and click Assign.

The person is told the task is now theirs, and you see Task assigned and notification sent. If you choose the person who already has it, you see This user already has the task assigned. You can change the assignee of the tasks you created or are paid for. Project member lists everyone in the project's team, you included, with their role; only a project with no members shows There are no project members to assign. The task then shows in your My delegated tasks.

If someone assigned you a task by mistake, open Assign task and click Return task. Confirm Return this task to its creator? and you see Task returned to creator. The task goes back to the person who created it.

Your statuses, tags and dates

These let you organise tasks in your own way.

  • My task statuses: click Add status, type the Status name (at least 2 characters), pick a Color and click Save. You see Status added. Then choose a status in a task's Status column; you see Status assigned. To change it, click the pencil next to it; No status clears it. The status you give a task is only seen by you.
  • My task tags: click Add tag the same way; you see Tag added. Then click the tag button in a task's Tags column and tick the tags it should have; you see Tags updated. The × on a tag removes it from the task; it only appears on the tags you put, so you cannot remove someone else's. Tags are shown on the task to everyone who sees it. Choosing tags only changes your own: the tags other people put on the same task stay as they are. Tasks paid by task show their validation steps there instead, and take no tags.
  • Date: pick a date in a task's Date column. You see Task date updated. It is your own date for that task.

To delete a status or a tag, click the × next to it in My task statuses or My task tags and confirm Remove this status? or Remove this tag?. You see Status removed or Tag removed. With none created, they show No personal statuses yet and No personal tags yet.

Personal lists

A personal list groups tasks outside the sprints.

  1. In My tasks, click Add list in Personal lists.
  2. Type the List name (at least 2 characters) and click Save. You see List created.

The list appears on the board marked Personal list, with its own Add task. While it is empty it shows No tasks in this list. Only you add tasks to it. Anyone who has a task assigned in your list can see the list and its tasks; they see it marked List by and your name. Lists cannot be renamed or deleted from the board.

Reports

The buttons at the top of the board, such as Report · Hourly payment, open a report of what the project means for you: the total, what has been paid and what is missing, a chart and a line for each task or sprint. There is one for each way you are paid in the project. A sprint where you have a sprint payment also shows Sprint report, with that sprint only.

The amounts for hourly work are estimates, worked out from the time you recorded. To see what has actually been paid, open Your payments.
