Manage roles

Create the company's roles, decide what each one can do in the panel, and copy a role to start a new one.

A role is a job at the company, such as a developer or a project leader, and it decides what the people who hold it can see and do in the panel. People get roles through their positions, as explained in Positions, contracts and pay. This guide shows how to create and edit roles, give them permissions, and copy one.

Who can use it

Roles is in the admin panel. To reach it, open the menu at the top right and choose Go To Admin Panel; Roles is in the Users group of its side menu. You see it only if your role gives you access to the admin panel and to roles. Creating, editing and deleting roles each need their own access.

Nobody can edit or delete the company's top role. When the company has set a default role for everyone, that one cannot be deleted either.

The list

The list shows the roles in their Order, with their Title, Name, Vacancies and Department. With no roles, it says No data to show.

Create a role

  1. Click Create Role.
  2. Type its Name, as people should read it.
  3. Type its Slug: a short name in lower case with hyphens, such as project-leader. Some roles have their own panel on the dashboard, and the slug is what links the role to it; a role whose slug matches no panel shows only its name there.
  4. Type its Vacancies, or leave it empty. See below.
  5. Choose the Department it belongs to. The org chart places the people who hold the role in that department; see The org chart.
  6. Click Add Role.

The new role goes to the end of the list and has no permissions yet. Give them by editing it.

Give permissions

Open the role and click Edit. Below the role's details, Entity permissions is a table with one row per part of the panel and the columns Create, See, Update and Delete.

  • Tick a box to allow that action on that part of the panel.
  • Click a column's heading to tick or untick the whole column.
  • Click a row's name to tick or untick the whole row.

Under the table, Permissions lists the permissions that are not one of those four actions, such as access to the admin panel or to finances. Turn on the ones the role needs.

Click Save Changes. The change applies straight away to everyone who holds the role.

The role's page shows the same table, read-only, and the Tests prepared for the role, which are explained in Job applications and tests.

Order

Order sets where the role appears in the list. It is not asked when you create a role; edit the role to change it. Giving a role a number moves the roles from that number onwards one place down.

This renumbering also runs whenever you save a change to a role's details, even when you leave Order as it was: the roles from that role's number onwards are numbered again one after another, starting right after it.

Vacancies

Vacancies says whether the company is looking for people for the role:

  • A number above 0 is how many people the company is looking for. The role is offered on the public job forms, and in the Position filter of applications it shows that number next to its name.
  • 0 means no open places. The role is left off the public job forms but stays in the Position filter.
  • -1 offers the role on the public job forms and leaves it out of the Position filter.
  • Empty leaves the role out of both.

Copy a role

Clone is at the end of each row of the list and on the role's page, for anyone who can create roles. It makes a new role with the same permissions and takes you to edit it. The copy is not finished yet:

  • Its Name is the original name in lower case, with hyphens instead of spaces and without accents, followed by -copia; for example, a role called Project Leader is copied as project-leader-copia. Cloning the same role again adds -2, -3 and so on.
  • It has no Slug, no Vacancies and no Department.

Before you click Save Changes, give the copy the name people should read, and fill in its Slug and Department, which are required. If you leave the page without saving, the copy stays in the list as it is.

Delete a role

Open the role and click Delete. The role disappears from the list. The company's top role, and the default role when the company has one, cannot be deleted.
