Formats

Generate the accounting reports for a period, from the daily journal and the monthly provider and payroll totals to the balance sheet.

Formats turns the money that moved in a period into the reports accounting asks for. This guide shows how to generate them and what each one contains.

Only people who can see finances have Formats in the side menu. Anyone else who opens the page is told it does not exist.

Generate a report

  1. Choose Formats in the Finances group of the side menu.
  2. Choose the period in From and To.
  3. Choose the Type of report: Daily, Monthly by Providers, Monthly by Payroll or Balance Sheet.
  4. Click Generate Report.

All three fields are required: if one is empty you see The From field is required., The To field is required. or The Type field is required.

The report appears below. If nothing moved in that period, nothing appears, except for the Balance Sheet, which always appears and shows zeros.

The address of the page keeps your choices, so reloading it or sharing the link opens the same report.

Every report counts only incomes and expenses that belong to a transfer, the ones recorded in Transfers, and places them by the date they were paid. A movement that has not gone into a transfer yet is left out, even if it is marked as paid.

Daily

The movements day by day. Each day is split by category, such as Salaries, Services, Loans, Sells, Yield, Taxes, Returns or Uncategorized, and each category shows its expenses under Debit and its incomes under Credit. Below each category, every line has its description and its amount under Auxiliary: incomes come out positive and expenses come out negative.

Salaries holds the expenses whose category is Hourly, Sprint Cost, Task or Salary, and any expense whose notes contain the word Salario, whatever its category. It is shown as one line per person. Payroll paid from a Slicing Pie account appears under Slicing Pie instead, as two lines that cancel each other out, because no cash left the company. See Slicing Pie.

An expense counts under Loans only when it is linked to a loan; one that only has the Loans category goes to Uncategorized.

Incomes are placed in this order: linked to a loan, Loans; investment yields, Yield; the VAT incomes added with + VAT in Transfers, Taxes; recorded to a provider, Returns; with a project, a sprint or a service, Sells; anything else, Uncategorized.

Generating the Daily report also completes the data: a Sells income that has a sprint but no project is saved with the sprint's project. A Sells income that has only a service, with no project and no sprint, cannot be shown: the page fails with an error until that income is given a project or a sprint in Incomes and expenses.

The last row adds up all the debits and credits, and Balance is credits minus debits.

Monthly by Providers

For each month, every provider that was paid and the Total paid to it. Every expense recorded to a provider counts, whatever its category.

Monthly by Payroll

For each month, every person who was paid, with their name in the Provider column. Every expense recorded to a person counts, whatever its category, except the ones linked to a loan. Total is everything paid to them; Total Real is the part paid from ordinary accounts and Total Slicing Pie the part paid from Slicing Pie accounts.

Balance Sheet

A balance sheet titled with the year of the To date, with Assets on the left and Liabilities on the right, each split into Current and Fixed:

  • Assets: Banks, Clients, Returned taxes and Miscellaneous debtors under Current; Deferred charges and Returns under Fixed.
  • Liabilities: Salaries, Documents payable, Service payments and Loans under Current. Documents payable always shows 0, and Fixed has no rows.

At the bottom, Total assets, Total liabilities and equity and Assets - Liabilities.

Every figure comes from the movements inside the dates you chose. Nothing is carried over from earlier periods, so choose the whole year to see the year.

  • Banks adds up the transfers of the ordinary accounts by the date they were requested, not the date they were paid, and whether or not they have been confirmed: what entered minus what left.
  • Salaries counts only payroll paid from ordinary accounts.
  • Bank commissions count as Deferred charges, not as Service payments.
  • Expenses and incomes that fall in Uncategorized, and investment yields, do not appear in the balance sheet.
