Clients, Services and Licences are the commercial records the rest of the panel builds on: projects belong to a client, sprints and payments point to a service, and licences record what a client has contracted for a period. All three are in the Commercial group of the side menu, and each one appears only if you have been given access to it.
Every list works the same way: click Create followed by the record's name to add one, fill in the form and click Add followed by the name to save it. Open a record to see its details, edit it or delete it.
Clients
The list shows each client's Business Name, Contact Email, Contact Phone and how many Projects it has.
A client has:
- Business Name, the only required field, and Business Key.
- Contact Name, Contact Email and Contact Phone.
- Multiplier. It is kept on the client, but nothing on these screens uses it yet.
- Notes.
- Is Internal, for a client that is the company itself. Projects of an internal client count as internal projects rather than client projects.
A client's page also lists its projects.
Services
A service is something the company sells or does. The list shows each service's Name, Product, Type, Department, Behavior Type, and how many Sprints and Payments use it. Use the filters to narrow it by Product, Type, Department or Behavior Type.
A service has:
- Name.
- Product: Página web, Aplicación web, Móvil, Licencia, Elemento de Licencia or Otro.
- Type: Configuración, Desarrollo, Post venta or Administrativo.
- Department, the department that delivers it.
- Behavior Type: Sprint for work done as a sprint, Tarea for work done as a task, or Gasto for something bought on the client's behalf.
Name, Product, Type and Department are required; Behavior Type is not. Only services whose Behavior Type is Sprint can be chosen when you create a sprint.
Some fields appear only for certain choices:
- With Tarea, Sprint Id is the sprint that payments for this service go to.
- With Gasto, Provider Id is the provider its expenses are paid to.
- With the Licencia product, Project Id is the project its licences belong to.
A service's page lists its payments, or its licences when the product is Licencia. Adding a payment from there fills in the sprint set in Sprint Id.
Licences
A licence is something a client holds for a period of time, such as a hosting plan. The list shows the newest first. Use the filters to narrow it:
- Licence Type: Normal for licences still running, which is what the list shows at first; Expiring for those ending within the next month or that ended in the last seven days; Expired for those that have ended; and Cancelled for those that were cancelled.
- Service, among the services whose product is Licencia.
A licence has:
- Name.
- Service, which must be a service with the Licencia product.
- Project, optional.
- Client. When you add the licence from a project's page, the client and the name come filled in from the project.
- Start Date and End Date. A new licence starts today and ends a year from today unless you change them.
- Cancelled At, the date it was cancelled. A cancelled licence no longer counts as running or expired.
Name, Service, Client, Start Date and End Date are required.
Every night at midnight, Mexico City time, the web applications that have as their Licence a licence whose End Date was the day before are suspended on their server: their site shows that the hosting licence expired and asks the visitor to contact Weblabor. This happens only the day after the End Date, and also to a cancelled licence. A licence set only as an application's Aws Licence does not suspend it.
When you move the End Date of a licence that is not cancelled to a date still to come, the web applications that have it as their Licence are resumed on their server, in case they had been suspended.
A licence's page lists its payments. When its service's Behavior Type is Gasto, it also lists its expenses. Adding a payment or an expense from there fills in what the service says:
- The sprint set in the service's Sprint Id, with its project.
- Otherwise, the project set in the service's Project Id and that project's most recent sprint in progress. Sprints of one specific service are left out of that choice.
- For an expense, the provider set in the service's Provider Id.
A licence can also be linked to a web application; see Servers and applications.
